The floor plans on the ground floor show the open plan spaces (in blue) where the events are held. The space spills out onto the large deck (undercover areas in green) which steps directly onto the dunes.

Terms and Conditions for Weddings & Celebrations

Venue booking and payment terms:

Quotes are valid for 30 days from the date the email is sent.
Provisional bookings must be confirmed within seven (7) working days with a 25% deposit of total venue hire and accommodation along with a signed copy of the Venue Hire Agreement and proof of payment (pop) required to confirm your booking.
Final confirmation of the number of guests attending the function to be confirmed ten (10) working days prior to the function.
A refundable deposit of between R10,000.00 and R20,000.00 including VAT is required for any shortages, damages or breakages to any property, the balance of which will be repaid within two weeks after the event. This varies according to the size of the wedding.
Further payments due – our standard policy is as below:
A second payment of a further 25% of the total venue hire and accommodation to be paid upon terms of the invoice (depending on lead up time to wedding).
The balance of the payment is payable in full, at least twenty-eight (28) working days before the function.
The Beach House Collection may change the terms of payment depending on the event.
The Beach House Collection reserves the right to charge discretionary interest in the event of late payments.
Confirmation of electronic payment is required (pop) via email.
There will be no refund in case the function is cancelled twenty-one (21) working days or less before the function date. (This payment will be for the full amount of the function, the food, staff costs, permit and venue hire as per the invoice)
A final notice will be issued four (4) days after a function with all costs related to shortages, loss, damage. This is covered by the breakages deposit.

Cancellation Policy:
All cancellations must be advised in writing.
Cancellation of a confirmed booking and refund:
A 4-month notice period prior to the date of the function, is required to receive a full refund with an admin fee of R1,500.00 deducted.
For cancellations less than 4 months, the deposit paid to date is non-refundable.
If you book your function in less than 4 months before the function date, your deposit is non-refundable.
There will be no refund in case the function is cancelled twenty-one (21) working days or less before the function date. (This is for the full amount of the function food/staff and venue hire).
A full deposit refund will be made if for any reason should we need to cancel the event.

Access to the Venue on the day before and after the event:
We allow access to the venue from midday of the day before the event, e.g., Friday 12pm for a Saturday event. The event manager will also be on hand to assist with setting up the venue and to accept deliveries on your behalf if he has clear information in this regard. He will also be there the day after the wedding to oversee the clean-up.

Permits:
If you are doing an event on the beach, we will apply for a permit from the Municipality on your behalf and charge accordingly. No functions will be allowed on municipal property without this permit. No alcohol is allowed to be consumed on the beach.

Extra Services:
We will have all the support in place to help you celebrate this occasion and take the stress out of it. These are all extra charges, and we can connect you with our preferred suppliers directly.

Catering:
We have different food packages from the suppliers we work with who are familiar with our kitchen and our equipment, but you are welcome to use your own caterers.

Drinks:
Please note that we are not licensed so we are happy for you to bring in your own drinks, no corkage charged. We do provide a basic set of wine, water & champagne glasses for up to 50 pax. If more than these are required, they can be rented from a supplier of your choice.

Props & decor:
You are welcome to use one of the rental companies in Cape Town and have your selection delivered to us in advance. We can take delivery and sign for goods.
We have a few simple wedding arches that you can choose from.
We have easels for the name places and table numbering which can be rented.
We do have plain chairs and 2 white wooden benches if you are having your ceremony on the beach.

Overtime:

Our team to assist fee includes servicing up until 11pm. Assistance after hours will carry an overtime surcharge of approx. R1,000 / hour.

Noise:
Please note – Eternity is not a wild late night party venue, but a space to celebrate love with friends, family, fabulous food and gentle music. We respect our neighbours, and no loud music is to be played outdoors after 10.30pm. You can of course play music indoors until a cut-off of 11pm, but the volume needs to be turned down.

Parking:
Space will be limited, and we may need to have a shuttle service to and from the cars parked at a public area if the guests are not all staying in the neighbouring houses. This would be an extra charge. 6 cars can park at Thyme & Tide, and 4 cars can park at the venue, along with the service providers: 6 at 189 La Playa and 4 at Dune Rose.
We do recommend that we rent other neighbouring houses, so that your guests can park there and walk to the event.

Right of admission:
Right of admission is reserved and will be strictly in accordance with the contract.
No unauthorised persons, goods, weapons, food, or drinks will be allowed on the premises.
All equipment, decorations, drinks, must be removed from the premises by 2pm the day after your function, unless by prior arrangement. We do understand that many suppliers do not collect on a Sunday. Note that we cannot securely guarantee to store hired equipment or personal belongings. Anything left behind on the premises will be at your own risk.

Risk / Damage / Losses:
Beach House Collection does not take responsibility for any loss or damage to the client’s property.
It is strongly advised that all personal and valuable possessions, equipment, decorations, gifts be removed from the premises immediately after a function.
Beach House Collection cannot be held liable for any interruption of water, power, sanitary or other similar supplies.
The client shall be liable for any costs occurring due to loss or damage to the property, art, premises, or equipment of Beach House Collection during or resulting from the function.
